Venues
Every venue has its own rules
The same design can be easy in one room and impossible in another. Ceiling height, access times, power, and the venue’s rules on helium, candles and wall fixings decide what we build and when. This page explains what we check at each kind of venue.
Hotels
Hotel ballrooms and function rooms
Hotels set strict load-in windows, often share the room with another event the same day and usually have an in-house AV team. We confirm the access time, the dock and freight elevator, and the hotel’s rules on helium, candles and anything attached to walls. Ballrooms take large pieces well: a full-width stage backdrop, tall centrepieces and a ceiling installation where rigging is allowed.
Common events: galas, weddings, conferences and holiday parties.
Banquet halls
Banquet halls and event venues
Banquet halls across the GTA host many of our weddings, milestone birthdays and cultural celebrations. High ceilings and long rooms need decor at the right scale, and halls often have their own setup crew, so we agree who places tables and linens and when our team can start.
Common events: weddings, mehndi nights, milestone birthdays and cultural celebrations.
Restaurants
Restaurant private rooms
Restaurants give you food and service in one place, with less room for decor. A backdrop, centrepieces and a booth set up before the reservation work best, within the restaurant’s rules on access and cleanup.
Common events: birthdays, bridal showers, baby showers and small office parties.
Offices
Offices and commercial buildings
Office towers usually need a booked freight elevator, a loading dock slot and sometimes a certificate of insurance, and many only allow deliveries outside business hours. We install after hours and take everything down so the space is ready the next working day.
Common events: corporate events, appreciation days, grand openings and storefront decor.
Community spaces
Community centres, schools and places of worship
These spaces often have fixed rules on decorations, open flames and cleanup, and the room may be in use until shortly before the event. We plan freestanding pieces that need nothing fixed to the walls and a quick install.
Common events: fundraisers, baptisms and communions, graduations and cultural celebrations.
Outdoors
Parks, backyards and tents
Outdoor events need a weather plan, a level surface and power for booths and lighting. City parks may need a permit for tents and amplified sound. We supply tents and outdoor setup and tables, chairs and linens, and choose decor that copes with wind and sun.
Common events: kids parties, family days, backyard weddings and gender reveals.
On the water
Boats and yachts
Charter boats have tight spaces, moving decks and short boarding windows. We plan compact, well-secured pieces and install before guests board. See boat decoration.

Venue questions
Do you decorate at any venue in Toronto and the GTA?
We work at hotels, banquet halls, restaurants, offices, community centres, homes, parks and boats across Toronto and the GTA. Each venue sets its own rules, so we confirm access times, decor rules and power before we finalize the design.
What should I ask my venue before booking decor?
Ask what time vendors can enter and when everything must be removed, the ceiling height, whether helium, candles, confetti or wall fixings are allowed, where the power outlets are, and whether there is a loading dock or elevator.
Do venues allow helium balloons?
Many do, some do not, and some limit them to certain rooms because of high ceilings or fire detectors. Tell us the venue and we will check, or design the piece with air-filled balloons on a frame instead.
Can you work with the venue’s own decorator or setup crew?
Yes. Some halls and hotels include basic decor or have a setup crew. We agree in advance who places tables, linens and centrepieces, and schedule our install around them.
Does the venue need a certificate of insurance?
Some hotels, office buildings and convention centres ask every vendor for one. Tell us early if your venue requires it, together with the wording the venue needs.
Can you help us choose a venue?
Yes. We source venues for corporate events, weddings and private celebrations. See event planning and corporate event planning.
How early can you set up at a venue?
As early as the venue allows. Most venues release the room a few hours before the event; some allow setup the night before. We plan the install to fit the window the venue gives you.
Do you take the decor down after the event?
Yes, for most bookings. Each listing states whether takedown is included, and we schedule it to the venue’s removal time, including late at night or the next morning if the venue requires it.
