What We Do

Wedding decor in Toronto, planned around your venue

Most couples arrive with a venue booked, a colour palette half decided and a folder of saved photos that do not quite agree with each other. Our job is to turn that into one coherent design: what stands behind you at the ceremony, what frames the head table, how the cake and welcome areas are dressed, and where guests will take their photos. We design, deliver, install and take down, so the decor is one part of the day you do not have to supervise.

We work with couples planning banquet hall receptions, restaurant weddings, backyard ceremonies and intimate city hall celebrations followed by dinner. Some book a single backdrop and a first dance effect. Others want the full room considered, with fresh florals and event planning support added by custom quote. We do not assume a style, and we never assume balloons. Modern and minimal, classic and floral, glamorous or garden, the design follows you. From Concept to Creation is how we describe that path.

Many Toronto weddings bring together more than one culture or several events across a week. We work from your family's own traditions, colours and references instead of assuming what they should look like, and our cultural celebrations page explains that approach. Couples who want one team throughout can also look at engagement and proposal styling and bridal shower decor.

Wedding planning

Wedding planning and day-of coordination in Toronto

Some couples want one team from the first venue visit to the last dance. Others have planned every detail and need someone to run the day. We do both, and the decor is designed by the same people who plan it.

Full wedding planning

Venue sourcing, a budget and timeline, vendor shortlists and bookings, the design of the ceremony and reception, and a coordinator on the day. Right for couples who are busy, planning from abroad or bringing two families and several events together.

Partial planning

You have the venue and a few vendors; we fill the gaps, design the room, confirm every supplier and build the run of show. A good fit when the big decisions are made but the details are not.

The Hero Moment

One backdrop everyone will remember

Every wedding has a frame that appears in more photographs than anything else: the space directly behind the couple. At the ceremony it sits behind your vows; at the reception it sits behind the head table or sweetheart table for the speeches, the toasts and the first look across the room. We treat that wedding backdrop as the hero moment and spend the most thought, and usually a generous share of the decor budget, there. The rest of the room is then styled to support it instead of competing with it.

Ceremony

A ceremony backdrop should frame two people standing, with an officiant between them, without hiding anyone. A circle arch frame dressed with fabric and flowers, a pair of floral stands at different heights, or a green wall for a garden feel all achieve that. Think about where the photographer will stand at the end of the aisle and what sits behind the frame from that angle. Exit signs, bright windows and venue artwork are the usual problems, and a slightly wider or taller design often solves them.

Reception and head table

At the reception the backdrop is viewed from further away and for much longer. Scale matters: a design that looked generous at the ceremony can feel small behind a long head table. A shimmer wall catches the room lighting and reads well from the back tables, while a green wall with a neon sign such as Better Together suits a relaxed, modern room. Couples often ask to move one ceremony piece to the reception during cocktail hour. Tell us your timeline and we will say honestly whether the turnaround is realistic.

First dance

Our dry ice effect creates a low layer of fog across the dance floor, so the first dance looks as though it is happening on a cloud. It is listed for a 5 minute or 15 minute run, with delivery, setup, operation and takedown included. The effect photographs well with the house lights lowered and a spotlight or warm uplighting on the couple. Please confirm with your venue that floor effects are permitted; venue rules and our on-site team's guidance apply on the day.

Flowers & Tables

Floral design, centrepieces and table styling

Fresh floral design, including bridal bouquets, boutonnieres, floral arches and reception centrepieces, is available by custom quote. Flowers depend on season, variety, colour and quantity, so we do not publish prices for them; we talk through your palette and priorities and quote for your wedding specifically. If you are comparing options for wedding flowers Toronto couples often find it helps to decide where flowers will be seen most. The ceremony frame, the head table and the bouquet appear in the most photos, so put the fresh stems there first.

Guest tables need a different kind of thinking. Centrepieces should sit low enough for guests to talk across, or high enough on a slim stand that sightlines pass underneath. Our catalogue includes a flower stand rental set of three square column stands in graduated heights, and an artificial flower stand decoration with candles for tables. Artificial arrangements hold up in warm rooms and across long receptions, and can be mixed with fresh accents. Our flower decorations page explains how we approach both.

Rental Pieces

Shimmer wall backdrop

A sequin-style wall that moves with the light and gives a glamorous finish behind a head table, cake table or photo area. It works especially well in darker banquet rooms with uplighting.

Grass wall

An artificial boxwood hedge wall listed at 8 ft wide by 8 ft high. It brings a garden feel indoors and makes a calm, even background for signage, florals and portraits of the two of you.

Circle arch frame

A round frame listed in 5.5, 6.5 and 7.5 ft heights. The listing pairs it with balloons, but for weddings we more often discuss fabric and flower or pampas accents. Ask us what suits your ceremony.

Flower stands

Three square column stands in graduated heights, useful beside a ceremony frame or flanking the head table. Pair them with a white plinth for the cake and the display photographs neatly from the front.

Marquee and neon signage

Marquee pieces stand 4 ft high in wood with LED lights, and the listing describes numbers 0 to 9, so ask about letter availability. The Better Together neon sign adds a warm line of light to any backdrop.

Guest Experience

Photo experiences your guests will actually use

A photo booth earns its place when it is positioned well. Put it near the bar or the lounge area, not in a corridor, and keep it clear of the route servers use. Our classic photo booth includes a backdrop, props, instant printing and sharing, a red carpet and stanchions, which makes it a natural guest book alternative. The 360 video booth suits livelier receptions: an attendant runs it, the platform holds up to five people, and clips carry a custom overlay with your names or monogram.

Space and power decide which booth fits. A 360 platform needs clear floor around it for the rotating arm, plus a nearby outlet; a classic booth needs a wall or corner and a short queue area. The 360 booth should be booked at least two weeks before the event, and travel outside the GTA is extra. Guests can also ask about mirror booth availability. Full details are on our photo booth rental page, and couples planning family-friendly receptions sometimes add entertainment for younger guests.

Venues & Logistics

What your venue decides before we do

Wedding decoration Toronto venues allow varies more than couples expect. Banquet halls often turn a room between two events, leaving a fixed setup window. Restaurants may only open a few hours before service. Heritage buildings and hotels can restrict wall fixings, open flame, floor effects and what may be carried through the lobby. Ask your coordinator for the decor policy, the load-in entrance, elevator bookings and the time the room must be clear at night, and send it to us with your inquiry so the design fits the rules.

Ceiling height, lighting and power

Tall rooms swallow small decor, so we scale backdrops to the ceiling and the distance to the furthest table. Low ceilings call for wider, lower designs. Ask the venue whether house lights dim in zones, because a backdrop under a bright downlight photographs flat, while one with soft side lighting gains depth. Neon signs, marquee pieces, booths and the fog effect all need power, so we map outlet positions early and keep cable runs away from guest walkways and the dance floor.

Outdoor ceremonies

Garden, backyard and waterfront ceremonies need a weather plan agreed in advance. Wind affects tall frames, fabric and lightweight arrangements, and summer heat is hard on fresh flowers left in direct sun. Choose a sheltered position, decide which covered space becomes the backup, and set the time for that call. Our on-site team will advise on placement and anchoring once they see the ground and the conditions, and venue rules apply to anything staked or weighted. If the ceremony or dinner runs past sunset, plan the lighting with the decor: string lights, lanterns and uplighting on trees carry the design once daylight goes.

Still choosing a venue?

We can shortlist wedding venues that fit your guest count, date and budget, and check their decor rules before you sign. For ideas, see Toronto wedding venues for 2026 and our tips for low-ceiling venues.

Questions to settle with your venue

Answers to these make your quote accurate and the wedding day calmer.

  • What time can decor vendors access the room, and when must everything be removed?
  • Is there a loading entrance, a service elevator or stairs between parking and the room?
  • Does the venue restrict wall fixings, candles, floor effects such as low fog, or freestanding frames?
  • What is the ceiling height where the ceremony and head table backdrops will stand?
  • Where are the power outlets nearest the backdrop, the booth position and the dance floor?
  • Will the ceremony and reception share a room, and how long is the turnaround between them?
  • Where will the photographer stand for the ceremony, the speeches and the first dance?
  • For outdoor ceremonies, what is the covered backup space and who makes the weather call?

Would you rather talk it through?

We are available seven days a week. Call to describe your venue and your ideas, and we will help you decide where decor will matter most.

Questions

Wedding: Frequently Asked Questions

Answers for couples planning a wedding in Toronto and the GTA: planning and coordination, decor, rentals and the day itself.

Updated November 3, 2026

Working with us

How much does wedding decor cost in Toronto?

It depends on the size of the room, the number of styled areas and how much is custom, so we quote each wedding individually. For reference, website-listed starting prices include a circle arch frame from $280, the dry ice first dance effect from $350 and a classic photo booth from $410 for two hours. Fresh florals, custom backdrops and coordination are by custom quote only. Your final price reflects location, timing, size and customization, all set out in writing.

Do you use balloons at weddings?

Only when a couple asks for them. Our wedding designs are usually built from backdrops, fabric, florals, greenery walls, signage and lighting, and we never assume balloons belong in a wedding. Some couples do choose a refined balloon installation for a welcome area, a reception entrance or an after-party, usually in a tight neutral palette. If that appeals, we will show you how it can sit comfortably beside the rest of your decor without changing the tone of the room.

Do you provide fresh wedding flowers?

Yes, fresh floral design is available by custom quote, including bridal bouquets, boutonnieres, floral arches and reception centrepieces. We do not publish prices because flowers depend on season, variety, colour and quantity. Tell us your palette, your guest table count and the areas you most want flowers to appear, and we will prepare a quote for your wedding. Our catalogue also lists flower stand rentals and an artificial flower stand decoration for tables.

What is included with the dry ice first dance effect?

The listing includes delivery, setup, operation and takedown, and is offered for a 5 minute run from $350 or a 15 minute run from $550. Our team operates the effect on cue, so you only need to agree the timing with your DJ or MC. Please confirm in advance that your venue permits floor effects. Venue rules and our on-site team's guidance apply, and final pricing depends on your location and event timing.

Can you move the ceremony backdrop to the reception?

Often, yes, provided the timeline and the venue layout allow it. A move works when the ceremony and reception are in the same building, the piece is designed to travel, and cocktail hour gives enough time to reposition and tidy it. Tell us your schedule when you inquire. If the turnaround looks too tight to do properly, we will say so and suggest a second, simpler piece for one of the two spaces instead.

Do you offer wedding decor rentals on their own?

Yes, our catalogue includes rental pieces such as the shimmer wall backdrop, the 8 ft by 8 ft grass wall, flower stands, white plinths, the Better Together neon sign and 4 ft marquee pieces. Each product page shows its current listed price, and the final figure depends on location, timing and what installation involves. Tell us which pieces interest you and where they will stand, and we will confirm delivery, setup and collection details in your quote.

Do you offer wedding planning or day-of coordination?

Yes. We offer full wedding planning, partial planning and day-of coordination, each quoted to your wedding because the number of vendors, guests and hours varies so much. Decor, rentals and photo experiences can be booked with or without planning. Tell us what you have already arranged and the kind of help you want, and we will explain what we can take on for your date.

Which areas do you serve for wedding decor?

We provide wedding decor Toronto and GTA wide from our base on Willowdale Avenue. That includes weddings in North York, Mississauga, Vaughan, Etobicoke, Scarborough, Markham, Richmond Hill, Oakville, Ajax and Oshawa. Location and event timing affect the final price, which is why our listings note that prices may vary. Travel outside the GTA is possible for some services and is charged as an extra, as stated on our 360 video booth listing. Share your venue address for an accurate quote.

How far in advance should we book?

As early as you comfortably can once your venue and date are set. We do not publish a fixed lead time for decor, because it depends on the date, the design and our calendar. The one stated requirement in our catalogue is the 360 video booth, which should be booked at least two weeks before the event. Earlier conversations simply give more room for design decisions, venue questions and any custom floral work.

How do we start planning our wedding decor?

Start with the venue, the season and two or three colours. Then choose one hero moment, such as a floral arch, a backdrop or a styled head table, and carry the same colours through the centrepieces, signage and cake table. Check the venue’s rules on setup times and fixings before you book decor.

Can you match our colour palette and theme?

Yes, the design is built around your palette, your venue and your style. Send invitation artwork, fabric swatches, attire colours or saved photos, and we will propose backdrop, floral and table choices that hold together. If your references disagree with each other, which is common, we will help you pick a direction and explain why it suits the room. We also work from family traditions and cultural references that you share with us.

Can you decorate an outdoor wedding ceremony?

Yes, with a weather plan agreed beforehand. Wind, rain and strong sun affect frames, fabric and fresh flowers, so we recommend a sheltered ceremony position and a confirmed covered backup. It helps to decide who makes the weather call and by what time. Our on-site team advises on placement and anchoring once they see the conditions, and any venue or park rules about staking, weights or structures apply to what we install.

What do you need from our venue?

We need the access window, the load-in route, the time the room must be cleared, and the decor policy. Useful details include ceiling height, outlet positions, elevator bookings and any limits on wall fixings, candles, floor effects or freestanding frames. If the venue has a coordinator, we are happy to take that information directly from them. Having it early means the quote reflects the real setup and nothing has to change on the wedding day.

Which photo booth suits a wedding?

The classic photo booth suits most weddings because guests of every age use it and the instant prints work as keepsakes or a guest book. The 360 video booth suits high-energy receptions with room for the platform, which holds up to five people and comes with an on-site attendant. Listed starting prices are $410 and $400 for two hours respectively. Guests can also ask us about mirror booth availability when they inquire.

How do we book?

Start with the contact form, an email to Info@EventCreation.ca or a call to (416) 230-9723. We are available seven days a week, and after a form submission we contact you within 24 hours. We will ask about your date, venue, guest count and style, then send a concept and written quote. We confirm details and next steps when you request a quote, including what is covered for delivery, installation and takedown.

Wedding planning and coordination

What does a wedding planner do?

A wedding planner helps you set the budget, find the venue, choose and book vendors, design the look, build the timeline for the day and then runs the wedding so you and your families can enjoy it. On the day the planner is the person every vendor reports to, from the florist arriving in the morning to the last rental leaving at night.

Is it worth paying for a wedding planner?

It depends on how much time you have and how many moving parts the wedding has. A planner earns their fee when there are many vendors, more than one event, a venue with strict rules, or families in different cities. If your wedding is small and you enjoy the planning, day-of coordination alone may be enough.

What is the difference between a wedding planner and a wedding coordinator?

A planner works with you for months: budget, venue, vendors and design. A coordinator usually starts a few weeks before the wedding, takes over the plan you made and runs the day. Some people use the titles loosely, so always ask for a written list of what is included.

What does day-of wedding coordination include?

We review your plan and vendor contracts in the weeks before, confirm arrival and setup times with each vendor, build the run of show, and on the day manage setup, the ceremony cues, the reception timeline, speeches, the first dance and takedown. You hand over the details once and stop answering vendor calls.

Who can help me with day-of wedding coordination in Toronto?

We can. Send us your date, venue, guest count and the list of vendors you have booked, and we will explain what day-of coordination covers for your wedding and confirm availability. Call (416) 230-9723 or use the contact form.

When should we hire a wedding planner?

For full planning, as soon as you have a rough date and budget, ideally before you book the venue, because the venue decides so much else. For day-of coordination, a few months before the wedding is usually enough, though popular summer and fall Saturdays fill early.

How much does a wedding planner cost in Toronto?

Planners charge in different ways: a flat fee, a fee for day-of coordination only, or a share of the total budget. We quote planning and coordination to the scope of each wedding and list decor, rentals and entertainment as separate lines with their website-listed starting prices, so you can see what the planning costs and what the wedding costs.

What should we ask a wedding planner before hiring them?

Ask what is included and what is not, who will be on site on the day, how many weddings they handle on the same date, how they work with your venue’s coordinator and what happens if a vendor cancels. Ask to see photos of their own setups and read recent reviews from couples.

Can you help us find a wedding venue?

Yes. Tell us the guest count, the season, the budget and the style you want, and we will shortlist venues that fit. Before you sign, we check the details that shape the decor and the timeline: access and removal times, ceiling height, power, and the venue’s rules on candles, helium and outside suppliers.

Do you book and coordinate other wedding vendors?

Yes. We can shortlist and book vendors or coordinate the ones you have chosen: the caterer, photographer, videographer, officiant, hair and makeup, cake and transport. Every vendor receives the same timeline and knows who to call on the day.

Can you coordinate the ceremony rehearsal?

Yes, when coordination is part of your booking. We walk the wedding party through the processional order, the cues and where everyone stands, so the ceremony itself runs without hesitation.

Do you plan multi-day and cultural weddings?

Yes. Many Toronto weddings include several events, such as a mehndi or henna night, a religious ceremony and a reception. We plan each one with its own look and timeline and work from your families’ traditions rather than assumptions. See cultural celebrations for more.

Can you plan a small wedding or a dinner after city hall?

Yes. Intimate weddings are some of our favourite briefs. We find a restaurant room or private space that suits the guest count, design one strong backdrop and a styled table, and coordinate the timing between the ceremony, photos and dinner.

Can guests watch the ceremony online?

Yes. If relatives cannot travel, we can plan a streamed ceremony so they can follow the vows and speeches online. We plan where the camera stands, the sound and the timing, so the remote guests see the moments that matter without interrupting the room.

Do you work with our venue’s coordinator?

Yes, all the time. The venue coordinator looks after the venue, its staff and its food. We look after you, the design, the vendors the venue does not manage and the overall timeline. We agree with them early who handles each moment of the day.

Can you plan the engagement party and the bridal shower too?

Yes. Couples often book us for the engagement, the bridal shower and the wedding, which keeps the look connected across the year and means one team already knows your families and your style.

Wedding decor and design

What does a wedding decorator do?

A wedding decorator designs and installs the look of the day: the ceremony backdrop or arch, the head table, centrepieces, the cake and welcome tables, signage and the photo area. We also deliver, set up and take everything down, so the decor is one part of the day you do not have to supervise.

How much should wedding decor cost?

There is no fixed share of the budget that suits every wedding. Decide what guests will see most: usually the ceremony backdrop, the head table and the centrepieces. Our website-listed starting prices show how a design adds up, and fresh florals are quoted separately because they depend on the season and the flowers you choose.

How can we decorate a wedding reception on a budget?

Put most of the budget into one strong focal point, such as a flower wall behind the head table, and keep centrepieces simple and repeated. Reuse the ceremony backdrop at the reception, choose a venue that already looks finished, and rent pieces rather than buying them. We sort every quote into essential, recommended and optional items to help you choose.

Do wedding planners set up the decor?

Some do, many only coordinate the decorator. With us, the team that plans the wedding also designs and installs the decor, then returns to take it down at the agreed time. That removes one handover between vendors on the busiest day.

What decor does a wedding reception need?

Most receptions need a focal point behind the head table or stage, centrepieces for the guest tables, a welcome sign and seating chart, a cake table, and a photo area that is not in the way of the bar or the doors. Everything else is optional and depends on the room.

Can you style a head table or sweetheart table?

Yes. We design head tables and sweetheart tables with a backdrop, florals, linens and lighting in your palette, and scale them to the room so the couple stays the focus in every photo.

Do you decorate wedding stages?

Yes. For receptions where the couple sits on a stage, we build the stage decor with a backdrop, florals, seating and lighting, and check the stage size, steps and power with the venue first.

Can you add our names or initials to the decor?

Yes. We can add a custom name or initials to several backdrops, listed as a $35 add-on, use marquee letters for initials, or place a neon sign such as Better Together on the backdrop. Tell us the wording and where it should appear.

Do you decorate banquet hall weddings?

Yes, banquet halls are where many of our weddings take place. Large rooms with high ceilings need pieces at the right scale, such as a full-width backdrop behind the head table and taller centrepieces, and we plan the install around the hall’s access time and its own setup crew.

Wedding decor rentals

Where can I rent wedding decor in Toronto?

From us. We rent flower walls, arches and frames, marquee numbers and letters, flower stands, plinths, a shimmer wall, a grass wall, a dance floor and more, delivered and set up across Toronto and the GTA. Start with flower wall backdrops or event extras.

Which wedding decor should we rent and which should we buy?

Rent the large pieces that need storage, transport and setup, such as backdrops, arches, flower stands and marquee letters. Small personal pieces, such as place cards, table numbers and favour displays, are often cheaper to buy or make, and they become keepsakes after the day.

Do wedding decor rentals include delivery, setup and pickup?

For most pieces, yes. Each listing states what is included, and your quote confirms the delivery, setup and collection times for your venue. If the venue only allows removal the next morning, we plan the collection around it.

How far ahead should we reserve wedding rentals?

As soon as the date and venue are confirmed, especially for Saturdays from May to October. Popular pieces such as flower walls and marquee letters are often booked for several weddings on the same weekend.

Can rentals be delivered to a backyard or tent wedding?

Yes. For backyard and outdoor weddings we also supply tents and outdoor setup and tables, chairs and linens. We ask for a level surface, access for the crew and a weather plan before we finalize the layout.

Do you rent a dance floor for weddings?

Yes. A dance floor defines the space in a tent, a hall with carpet or a backyard, and it photographs well with marquee initials at one edge. Tell us the guest count so we can size it.

Do you rent arches for the ceremony?

Yes. We rent flower arches and circle frames in several heights, dressed with florals, fabric, greenery or pampas, and we can move the arch to the reception after the ceremony.

Photo, music and guests

What entertainment do couples book for a wedding reception?

The most popular choices are a DJ, live music for the ceremony or cocktail hour, dancers, a photo booth and cold spark or dry ice for the first dance. Our article on wedding reception entertainment ideas has more.

Do you provide a wedding DJ?

Yes. Our event DJs play weddings across Toronto and the GTA, take your must-play and do-not-play lists and coordinate the timeline with the MC and the coordinator.

Can we have an audio guest book?

Yes. An audio guest book is a phone guests pick up to leave a voice message, and you keep the recordings after the wedding. It sits well near the entrance or the photo area.

Can you keep children entertained at the wedding?

Yes. For weddings with many children we add kids entertainment such as face painting, balloon twisting or a magic show in a separate corner, so parents can enjoy the reception.

Can you add cold sparks to the grand entrance or first dance?

Yes. Cold spark machines and dry ice are popular for the entrance and the first dance. We confirm with your venue that they are allowed and plan the timing with the DJ.
