Our work

What we do
Working with a corporate event planner in Toronto: one brief, one call
If you are looking for a corporate event planner Toronto offices can trust with decor and setup, this page explains how we work. Event Creation plans, coordinates and decorates corporate events in Toronto and the GTA. We source venues, book AV and LED walls, supply event staff, run virtual and hybrid formats and build the room itself: branded backdrops, balloon installations, rentals, photo booths and entertainment. Planning and coordination are quoted to the scope of each event, From Concept to Creation. Most corporate clients come to us with a date, a venue and a rough idea, and need someone to make the room look finished.
The people who contact us are usually office managers, executive assistants, HR and culture leads, marketing coordinators and small business owners. Few of them plan events full time. They need clear options, accurate brand colours, a supplier who arrives on schedule and a space that is cleared afterwards. That is the job we do for corporate events Toronto companies host in offices, restaurants, hotels and rented halls, and it starts with understanding what the event is meant to achieve.

Hiring a corporate event planner in Toronto: what to compare
Most proposals look alike on the first page. The differences show up in the details, so compare them on the same points: what is included, who is on site, and how changes are handled once the quote is approved.
Ask each planner for an itemized quote, not a single total. Each line should say what it covers, whether delivery, installation and takedown are included, and which items depend on the venue. Ask who your contact is on the day and whether that person is part of the planning team or a subcontractor you will meet for the first time at load-in.
Check how they deal with building rules. Downtown towers and hotels often set freight elevator times, dock slots and insurance requirements, and a planner who asks about them in the first conversation is a planner who has done this before. Read their recent Google reviews and look for comments about timing and communication, not only about how the room looked.
Finally, be clear about what you already have. If the venue, the caterer or the AV company is booked, say so. We then plan around those partners and quote only the gaps, which keeps the proposal honest and easier to approve.
Five different briefs
One company, very different events
A product launch and a retirement lunch share a budget line and almost nothing else. Before we suggest a single item we ask what the event is for, who is in the room and what you want them to photograph or remember. These are the five briefs we hear most often, and how the design priorities change between them.
Product launches and brand activations
The product is the hero, so the decor frames it rather than competing with it. We keep the palette tight to your brand colours, place one strong backdrop where cameras will naturally point and keep the floor clear for demonstrations. A 360 video booth with your logo on the overlay gives guests content to post the same night. Custom branded backdrops are handled by quote once we see your artwork and the wall you have in mind.
Employee appreciation and team celebrations
For a summer social, a family day or a team milestone, our corporate team building events page shows the formats we plan, decorate and equip. Here the goal is warmth. Staff should walk in and feel that someone made an effort for them. An organic balloon garland over the entrance or the buffet, table centrepieces in company colours and a photo corner with props usually do more than a large single installation. If families are invited, entertainment such as a balloon twister or face painter keeps children happy while the adults talk.
Holiday parties
A company holiday party works when it feels festive without alienating anyone on the team. We usually suggest a seasonal palette, such as deep green, gold and white, or silver and navy, rather than symbols tied to one tradition, unless you ask otherwise. A shimmer wall photo area, ceiling balloons over the dance floor and a classic photo booth with instant prints give people a keepsake for their desk in January.
Client events and networking evenings
Clients judge the host by the details. Decor here should be restrained: a clean welcome moment at the door, floral styling by quote on the registration and bar tables, and a backdrop that doubles as the place for handshake photos. Sound and sightlines matter more than volume of decoration, so we keep tall pieces away from the speaking area and leave space for conversation.
Office milestones
Anniversaries, new office openings, retirements and sales targets all benefit from a number or a name. Four foot LED marquee numbers for a tenth anniversary, paired with balloons in your brand colours, read instantly in photos and in the company newsletter. Smaller office party decorations can be as simple as a garland in reception.
Have a date and a rough idea?
Send us the event type, venue, guest count and brand colours. We reply with a concept and a quote, and we contact you within 24 hours of a form submission.
Brand accuracy
Getting your colours, logo and name right
Corporate balloon decor succeeds or fails on colour. Send us your brand guide or hex codes and we match balloon colours to your palette as closely as the available ranges allow, then confirm the selection with you before the event. Latex and screens render colour differently, so we recommend choosing one dominant brand colour, one neutral and one metallic accent instead of trying to reproduce every shade in the guidelines.
There are three practical ways to put your name in the room. The 360 video booth listing includes a custom overlay with your logo, so every shared clip carries the brand. Custom name or letters on a backdrop is a $35 add-on on several of our balloon backdrop products. For anything larger, such as a fully custom branded backdrop, we quote individually after reviewing your artwork, the wall dimensions and the install time available.
We would rather tell you what we do not list than surprise you later. Our catalogue does not include printed step-and-repeat banners, so if your communications team needs one, plan to supply it or let us discuss a custom branded backdrop by quote. We can design the balloon or floral framing around a banner you already own, which is often the quickest route to a polished media wall.

The hero moment
Design one thing people will photograph
Every corporate event needs one hero moment, and for most companies it is the branded photo area. It is where the team photo happens, where leadership stands with the people being recognized and where guests take the picture that ends up on LinkedIn. We build that first, then let the rest of the corporate event decor Toronto venues can accommodate support it with smaller touches on tables, bars and entrances.
Placement decides whether the photo area is used. It should be visible from the entrance but not blocking it, with about three metres of clear floor in front so a group of eight can be photographed without the photographer backing into a table. Avoid windows behind the backdrop, which turn faces into silhouettes, and check that overhead lights are not casting hard shadows across the logo.
Guest flow comes next. A photo booth creates a queue, so it belongs on a side wall near the bar rather than beside the registration desk. Tall balloon columns and floral stands help mark routes, but they should never hide exit signage or narrow a corridor.
Load-in logistics
Setup in offices, hotels and rented venues
Commercial buildings have rules that private homes do not. Many downtown towers require a certificate of insurance, a booked freight elevator and a loading dock slot, and some only allow deliveries outside business hours. Tell us early who your property manager or venue coordinator is, so access is settled before install day.
Setup time depends on the design, so we agree on an install window with you rather than quoting a standard duration. Large balloon pieces are built on site, which means we need the room before your caterer dresses the tables. Helium, ceiling installations and anything attached to walls are subject to venue rules and our on-site team's guidance. If a venue does not allow ceiling fixing, we redesign with freestanding frames.
Power is the other question. The 360 video booth, LED marquee numbers and neon signs all need an outlet nearby, and extension cables across a walkway need to be taped down or rerouted. Takedown matters as much as setup in an office: most of our balloon backdrop products list takedown as included, and we schedule it so the space is clear when staff return to work.

Venue and logistics questions to settle
Having these answers ready shortens the quote process and avoids changes on the day.
- What is the purpose of the event, and who is attending: staff, clients, media or families?
- What are your exact brand colours, and can you send the logo as a vector or high-resolution file?
- Does the building require a certificate of insurance, a loading dock booking or a freight elevator reservation?
- What time can suppliers enter the room, and when must everything be cleared?
- How high is the ceiling, and does the venue allow helium balloons or ceiling installations?
- Where are the power outlets in relation to the planned photo area?
- Is there a stage, screen or speaking area that must stay visible from every seat?
- Who is the on-site contact on the day, and do they have authority to approve small changes?
- If any part of the event is outdoors, what is the covered backup location?

Corporate Events: Frequently Asked Questions
Straight answers to the questions office managers, HR teams, marketing coordinators and executive assistants ask when they hire a corporate event planner in Toronto.
Updated November 3, 2026
Working with us
How much does corporate event decor cost in Toronto?
It depends on the size of the design, but our website-listed starting prices give a useful range. A 12 ft balloon garland starts from $250, a shimmer wall backdrop with balloons from $420 and a 360 video booth from $400 for two hours. Most corporate quotes combine several items. The final price depends on location, timing, size and customization, so we confirm an exact figure once we know your venue, schedule and brand requirements.
Do you plan the whole event or only the decoration?
Both, depending on what you need. We take on full planning and on-site coordination, venue sourcing, AV and LED walls, event staff and virtual or hybrid formats, as well as the decor, photo booths and entertainment from our catalogue. Catalogue items have listed starting prices; planning and management are quoted to the scope. Tell us which parts you already have covered, such as the venue or the caterer, and we will shape the proposal around the gaps.
Can you match our brand colours exactly?
We match as closely as balloon and material ranges allow, and we confirm the selection with you before the event. Send your brand guide or colour codes with your inquiry. Some shades, particularly very specific blues, teals and corporate greys, exist only as near matches in latex. In those cases we suggest anchoring the design with one dominant colour plus a neutral and a metallic, which reads as on brand in photographs.
Can you put our logo on the decor?
Yes, in a few specific ways. The 360 video booth listing includes a custom overlay with your logo on every clip. Custom name or letters on a backdrop is a $35 add-on on several balloon backdrop products. We do not list printed step-and-repeat banners in our catalogue. Larger custom branded backdrops are handled by quote after we review your artwork, the dimensions of the wall and how much install time the venue allows.
How far in advance should we book?
As early as you can, especially for November and December dates when holiday party demand is high across the city. The only fixed lead time in our listings is for the 360 video booth, which should be booked at least 2 weeks before the event. For everything else, availability depends on the date and the size of the installation. Send the date first, even if the details are still being decided.
Do you decorate office holiday parties?
Yes, we decorate office and off-site holiday celebrations. We usually design around an inclusive seasonal palette, such as green and gold or silver and navy, unless you ask for a specific tradition. Popular combinations include a shimmer wall photo area, ceiling or floor balloons around the dance floor and a classic photo booth with instant prints. We can work in your office, a restaurant private room or a rented venue.
Which photo booth suits a corporate event?
The 360 video booth suits high-energy events such as launches, galas and year-end parties, because it produces short shareable videos with your logo overlay. The classic photo booth suits appreciation events and family days, since guests leave with a printed photo. Both need a nearby power outlet and clear floor space for a queue. Guests can also ask us about availability of a mirror photo booth when they request a quote.
Can you set up in a downtown office tower?
Yes, provided we have the building's access requirements in advance. Many towers ask for a certificate of insurance, a freight elevator booking and a delivery time outside peak hours. Share your property manager's contact and any supplier guidelines when you inquire. We plan the install window around those rules, and we design with freestanding frames if the building does not allow anything to be fixed to walls or ceilings.
Is delivery, installation and takedown included?
It depends on the product, so we state it per item. Most of our balloon backdrop products, including garlands, shimmer wall and marquee number designs, list delivery, installation and takedown as included. Balloon walls list delivery and installation. Room balloon decoration carries an $85 delivery fee and a $200 minimum order. Prices may vary with the event location and time, and your written quote shows exactly what is covered.
Which areas do you serve?
We serve Toronto and the GTA from 126 Willowdale Ave in Toronto. Our team travels to corporate venues across the GTA, including Mississauga, Vaughan, Markham, Richmond Hill, Etobicoke, Scarborough, Oakville, Ajax and Oshawa. Pricing may vary with location and timing, and the 360 video booth listing notes that travel is extra outside the GTA. Give us the venue address with your inquiry so the quote reflects it.
Can you decorate an outdoor corporate event?
Yes, with some sensible limits. Balloons react to heat, direct sun and wind, so outdoor designs use sturdier framing and are installed as close to the start time as possible. Photo booths and anything with lighting need power and a dry, level surface. We always ask for a covered backup location. Venue rules and our on-site team's guidance apply to helium, inflatables and anything that needs anchoring.
Do you offer flowers for corporate events?
Yes, floral styling for corporate events is available by custom quote. It typically means arrangements for registration desks, bars, stages and dining tables in colours that complement your brand without looking romantic. Our catalogue also lists an artificial flower stand decoration and flower stand rentals. Because fresh florals depend on season and scale, we do not publish prices for them. Tell us the tables and areas involved and we will advise.
How does the booking process work?
It starts with an inquiry through our contact form, by phone at (416) 230-9723 or by email at Info@EventCreation.ca. After a form submission we contact you within 24 hours. We then propose a concept and an itemized quote, and we confirm details and next steps when you request a quote. We are available 7 days a week, which helps when events fall on evenings or weekends.
Can families and children be part of a company event?
Yes, and it changes the plan in a good way. For family days and summer picnics we add age-appropriate entertainment from our catalogue, such as balloon twisters, face painting, a bubble show or a magic show, each with listed starting prices by duration. We keep the main decor professional and place the children's activity in its own zone, so adults can socialize while children stay engaged within sight of their parents.
Hiring a corporate event planner
What does a corporate event planner do?
A corporate event planner turns a business goal into a working event. That means agreeing the brief and budget, finding and booking the venue, building the timeline and run of show, booking and scheduling vendors such as AV, catering and entertainment, designing the room and running the day so the hosts can focus on their guests. At Event Creation the same team also designs and installs the decor, so the plan and the room come from one place.
What is a corporate event?
A corporate event is any gathering a company organizes or pays for to reach a business goal. The audience can be staff, clients, partners, investors, media or the public. The goal might be to thank people, launch a product, share information, raise money or build relationships, and the format follows from it: a conference, a gala, a holiday party, a launch or a networking evening.
What are some examples of corporate events?
The ones we plan and decorate most often in Toronto are holiday parties, employee and client appreciation events, galas and award ceremonies, conferences, product launches, brand activations, trade show booths, networking events, grand openings and fundraisers. Office milestones such as anniversaries and retirements are common too.
How do I choose a corporate event planner in Toronto?
Compare itemized quotes on the same points: what each line includes, who is on site on the day, and how changes are handled after approval. Ask about the buildings and venues they work in, read recent Google reviews for comments on timing and communication, and look at photos of real setups rather than stock images. A planner who asks early about load-in, insurance and power has usually done the job before.
How can I tell whether a corporate event planner in Toronto is reputable?
Look for a real business address, a phone line that is answered, and recent reviews on Google from clients who describe the event in their own words. Ask for photos of their own work at venues similar to yours and for a written, itemized quote. Be cautious with prices that are only given as one total, and with anyone who cannot tell you who will be on site on the day.
What is the difference between an event planner, a party planner and an event decorator?
An event planner manages the whole event: venue, timeline, vendors and the day itself. A party planner usually does the same for private celebrations such as birthdays and showers. An event decorator designs and installs the look of the room. Many companies hire all three separately. Event Creation covers planning, coordination and decoration with one team, so the person who planned the room is part of the crew that builds it.
Can you work alongside our internal events team or agency?
Yes. Many of our corporate clients already have someone who owns the event internally, or an agency that handles the creative. We can take a single part, such as venue sourcing, the room design or on-site coordination, and follow your run of show, brand guidelines and approval process. Tell us who signs off on what and we will send updates to the right people.
What do you need from us at the first call?
The date or a range of dates, the purpose of the event, the approximate headcount, the venue if you have one, the budget range and who needs to approve the plan. Brand guidelines and photos of past events help. If you do not have all of it yet, we start with what you know and list the open questions in the proposal.
Event management services
What does an event management company do?
An event management company takes responsibility for an event from planning through to takedown. It sources the venue, books and schedules suppliers, manages the budget and timeline, prepares the run of show and staffs the day. Some focus on production and AV, others on decor and guest experience. Event Creation offers planning, venue sourcing, AV and LED walls, event staff and virtual formats together with its own decor and photo booths.
Are you an event management company or an event planner?
Both terms describe what we do for corporate clients. For a smaller brief we act as the planner and decorator. For a larger one we manage the event: venue, AV, staffing, vendors, timeline and the on-site team. The proposal states exactly which parts we are responsible for, so there is no doubt about who does what on the day.
Do you source venues in Toronto and the GTA?
Yes. Give us the headcount, the format, the date and the budget, and we shortlist venues that fit: hotel ballrooms, event halls, restaurants with private rooms, conference venues and unusual spaces. Before you sign, we check the practical points that decide what the event can look like, such as access times, power, ceiling height and the venue’s rules on decor, helium and outside suppliers.
Do you provide AV, screens and LED walls?
Yes. We book sound, microphones, projection screens and LED walls for keynotes, award shows, launches and conferences, and we design the stage so the decor frames the screen instead of competing with it. If your venue requires its in-house AV team, we coordinate with them on load-in times, power and the run of show.
Can you supply event staff?
Yes. We provide event staff such as registration and check-in teams, greeters and floor support, briefed before doors open on the guest list, the timings and where everything is. Tell us the headcount, the number of entrances and whether guests need name badges or wristbands, and we will suggest how many people the event needs.
Do you run virtual and hybrid corporate events?
Yes. We plan town halls, launches, award shows and celebrations with a remote audience, either fully online or hybrid. The plan covers the streamed programme, a set and stage that read well on camera, the timing of segments for both audiences and the people who need to be on site. Tell us the platform you use and how many people will join remotely.
Do you handle catering?
Catering is booked with the venue’s in-house team or a caterer you choose. We coordinate it: service times in the run of show, where the food stations and bars sit in the floor plan, and how the room is turned over between the reception and dinner. If you have not booked a caterer yet, tell us and we will factor the options into the plan.
What are the stages of corporate event management?
Most corporate events move through five stages. First the brief and budget, then the design of the format and the room, then planning and booking of the venue and vendors, then coordination and delivery on the day, and finally takedown and a short review of what worked. We send a written plan at the end of the planning stage so everyone approves the same version.
What are the 5 Cs of event planning?
The 5 Cs are a common way to describe the work: concept (what the event is for and how it should feel), coordination (venue, vendors and timeline), control (budget, approvals and changes), culmination (the event itself) and closeout (takedown, payments and review). They match how we run a corporate brief from the first call to the last item out of the venue.
What are the 7 Ps of event management?
The 7 Ps used in event management are usually listed as purpose, people, place, programme, price, promotion and partners. In practice they are a checklist: why the event exists, who attends, where it happens, what happens in what order, what it costs, how guests hear about it and which suppliers deliver it. We cover each one in the proposal, apart from promotion, which most companies handle internally.
Can you manage a multi-day corporate event?
Yes. Conferences, trade shows and activations often run over two or three days. We plan the build so it stands for the full run, schedule checks and touch-ups each morning, and arrange staffing per day. If the programme changes rooms between days, we plan each changeover in the run of show.
Budget and cost
How much does a corporate event planner cost in Toronto?
Planning and event management are quoted to the scope, because a staff lunch for 40 and a gala for 400 need very different amounts of work. The decor and photo pieces have website-listed starting prices, such as a 12 ft balloon garland from $250, a shimmer wall with balloons from $420 and a 360 video booth from $400 for two hours. Your written quote lists planning, vendors and each item separately.
How do you price event management?
We separate the planning and coordination work from the items and services we supply. Planning is quoted to the size and complexity of the event. Decor, booths and entertainment start from the prices listed on this website, and AV, staffing and venue costs are shown as their own lines. The result is a quote your finance team can read line by line.
What affects the cost of a corporate event?
The biggest factors are headcount, venue, date and the length of the event. Food and drink usually take the largest share, followed by the venue and AV. Decor and entertainment depend on how much of the room you want designed. December evenings and Saturdays cost more almost everywhere, and buildings with strict load-in rules can add labour time.
Can you plan to a fixed budget?
Yes. Give us the number and we will tell you what it can realistically cover, then sort the plan into essential, recommended and optional items. That way you can see what each decision costs and where to hold back. We would rather design one strong photo moment than spread a budget thin across every corner.
Can we approve the quote in stages?
Yes. Many corporate clients approve the venue and date first, then the room design and entertainment, then final numbers closer to the event. We keep each version of the quote itemized so your manager or finance team can see exactly what changed between approvals.
Do you plan smaller corporate events?
Yes. Team lunches, office milestones and small client evenings are a large part of our corporate work. For a smaller event we keep the plan simple: one photo moment, centrepieces in your colours and a clear setup and takedown time. Tell us the headcount and the room and we will suggest what fits.
Timeline and logistics
How far in advance should we start planning a corporate event?
For a gala, conference or holiday party, start three to six months ahead, and earlier for December dates, when venues and suppliers book up first. A staff celebration or office party can often be planned in four to six weeks. If your date is close, call us: we will tell you honestly what can still be arranged.
Can you plan a last-minute corporate event?
Often, yes. With a short lead time we work from what is already available: venues with open dates, catalogue decor and booths we can confirm quickly, and a simpler plan with one strong photo moment. Call (416) 230-9723 with the date, headcount and venue and we will tell you on the same call what is realistic.
Do you work evenings and weekends?
Yes. We are available seven days a week, and many corporate installs happen after business hours so offices are ready the next morning, or late at night so a venue can be turned over for a morning event. Tell us the access window and we plan the crew around it.
Who is our contact on the day of the event?
When coordination is part of your booking, a member of our team is on site as your single point of contact. They manage vendor arrivals, keep the run of show on time and deal with changes as they happen, so your hosts can stay with the guests. We share their name and number before the event.
How long does setup take at a corporate venue?
It depends on the design and the building. A backdrop and a few centrepieces can be installed in a short window, while a full room with a stage, ceiling installation and booths needs several hours. We agree the install window with the venue in advance and build on site, so we need the room before the caterer dresses the tables.
Guests and experience
How do you make a corporate event fun without it feeling forced?
Give people something to do that does not need an announcement. A photo booth or 360 booth near the bar, a DJ who reads a mixed crowd, live music during arrivals and a short, well-timed programme work better than mandatory games. Keep speeches early and brief, and leave the second half of the evening for people to talk and celebrate.
What are fun activities for corporate events?
From our catalogue, the most popular are the 360 video booth, a classic photo booth with branded prints, a mirror booth, a DJ, live music, dancers, an MC for the programme and cold spark for a toast or an award. For family days we add kids entertainment in its own zone.
Can the photo booth carry our logo?
Yes. Our booths can print or overlay your logo and event name on every photo or clip, and the backdrop can be built in your brand colours. See corporate photo booth rental for the booth options and starting prices, and tell us where the logo files and brand guide can be sent.
Can you plan events for clients as well as staff?
Yes. Client evenings, partner receptions and appreciation events need a slightly different plan: more attention to arrivals, name recognition and quiet places to talk, and decor that looks polished rather than playful. Tell us who the guests are and what you want them to remember, and we will plan the room and the programme around that.
Do you plan events for a specific brand launch or campaign?
Yes. For a product launch or a brand activation we plan the reveal moment, the guest flow and the photo areas around your campaign, and build in your colours and materials. We work with your marketing team or agency on approvals.
