    What This Is

Planning and styling for people who have a vision but not the time

Event planning and styling is the service for hosts who want one team to think through the whole picture: how the room should feel, what guests see first, where photos happen, and how everything arrives, goes up and comes down. It suits birthdays and showers, engagements and proposals, weddings, cultural celebrations and corporate events. Planning is quoted to your event, so there is no fixed package to squeeze into.

Many clients arrive after comparing event planning companies Toronto has to offer and finding two extremes: full-service agencies built for large productions, and rental shops that drop off a box. We sit between them. We are a decor-led team with our own catalogue of balloon decoration, event extras, photo booths and entertainment, so the people who design your concept are the same people who install it.

Beyond the room itself, we source venues, book AV and LED walls, supply event staff and plan virtual and hybrid formats when an event needs them. Catering and photography are booked with the venue or with vendors you choose, and we coordinate them in the timeline so every supplier knows when to arrive and where to set up.

What an event planner in Toronto handles for you

Hiring an event planner means handing over the decisions that take time: which venue, which date, who arrives when and what happens if something runs late. Here is what that covers with us.

    Venue and date

We shortlist venues that fit the guest count, the budget and the kind of evening you want, and check the practical rules before you book: access times, ceiling height, power, helium and outside suppliers.

Budget, timeline and run of show

A written budget sorted into essential, recommended and optional items, a planning timeline with deadlines for each decision and, for the day, a run of show that every vendor receives.

    Vendors

Our own decor, photo booths and entertainment, plus the suppliers we book or coordinate: AV and lighting, LED walls, event staff, rentals, cake and desserts, and the caterer or photographer you choose.

    The day itself

A coordinator on site to receive vendors, check the setup against the plan, keep the timeline moving and handle changes quietly, then takedown at the agreed time.

    Planning services

Four ways to work with our planners

Each is quoted to your event. Most clients combine styling with one of the other three.

    Full event planning

One team from the first call to takedown: concept, design, decor, entertainment, photo experience, timeline and the vendors around them, for weddings, milestone parties and corporate events.

    Request a planning quote

    Day-of coordination

You have planned it; we run it. Vendor arrivals, setup checks, the timeline, the reveal and the takedown, so the host is a guest at their own event.

    Ask about day-of coordination

    Event styling and design

A creative direction, a colour palette, a hero moment and a decor plan drawn from our balloon, floral, backdrop and table styling services, sized to your room.

    Start a styling plan

    Vendor coordination

We book and schedule the pieces around our decor: DJ and performers, photo booths, cake and dessert tables, rentals and effects, and confirm access and power with the venue.

    Our Approach

How an event planner in Toronto works with you, from concept to creation

Our tagline, From Concept to Creation, describes the order we work in. Each stage settles a set of decisions before the next one starts, which keeps the design coherent and stops costs drifting. If this is your first time working with an event planner Toronto based or otherwise, the sequence is simple, and we explain each choice as we go.

    Concept

We start with the occasion, the guest list and the feeling you want in the room, then write a one-line creative direction such as modern black and gold milestone, or soft garden shower in sage and cream. A clear concept makes later choices easy: every item either supports the line or it is left out. Bring reference photos, invitations or brand guidelines if you have them.

    Design

Design turns the concept into a layout. We choose a colour palette of three or four tones, decide where the main backdrop stands, and scale pieces to the ceiling height and the width of the wall. Good event design Toronto venues can actually accommodate depends on practical details: where the doors are, where the light comes from, and where guests will stand to take photos.

    Decor

Decor is drawn from our catalogue and, where the design calls for it, from custom work quoted separately. Balloon garlands, shimmer and green walls, arch frames, marquee numbers, neon signs, plinths and centrepieces are listed with starting prices. Fresh floral design and custom backdrops beyond the listed ones are available by custom quote; see flower decorations for the floral side.

    Setup and takedown

Most of our decoration listings state that delivery, installation and takedown are included, and a few list delivery separately. We plan arrival around your venue's access window, build on site, and return after the event to remove everything where takedown is part of the booking. Your quote states which applies to each item, so there are no surprises at the end of the night.

Start with the occasion and the date

Tell us what you are celebrating, where, and roughly how many guests. We will come back with a creative direction and the pieces that would bring it to life.

    What We Bring Together

    Five services, one plan

A styled event usually draws on more than one part of our catalogue. Planning is what makes them read as a single design.

    Balloon Decoration

Garlands, balloon walls, arch frames, ceiling installations and marquee number designs in your palette. Often the biggest visual element in the room, so it is usually where the design begins.

    See balloon decor

    Flower Decorations

Artificial flower stand decorations and flower stand rentals from our catalogue, with fresh floral design such as bouquets, arches and centrepieces available by custom quote for weddings and formal events.

    See flowers

    Event Extras

Marquee numbers and letters, welcome signs, sweet carts, bouncy castles, tables and linens, tents, dance floors, dry ice and champagne walls. The pieces that finish the room and the guest experience.

    See event extras

    Photo Booth Experiences

A 360 video booth with an on-site attendant or a classic photo booth with prints, placed where the line will not block doors or the bar. Guests can also ask about mirror booth availability.

    See photo booths

    Kids Entertainment, DJ and Performance

Face painting, magic and bubble shows, balloon twisting, character appearances and a party host for the kids; a DJ, live music and dancers for the evening.

    See entertainment

    The Hero Moment

Design around the one thing guests will photograph

Every plan we write names a hero moment: the single element guests remember and photograph. It might be a shimmer wall with a custom name, a green wall framed by an organic garland, a pair of four-foot marquee numbers, or a proposal setup revealed at the right second. Most of the visual budget goes there. Everything else, from centrepieces to the welcome table, repeats its colours and materials at a smaller scale.

We build a backdrop in layers. The base is the structure: a square stand, circle arch, wood panel, shimmer wall or green wall. The main visual sits on it: balloons, florals, a name or a logo. Accents finish it: a neon sign, pampas, plinths of different heights, a cake table. Then we ask the question that matters most, which is where guests will stand for photos. A backdrop needs a few steps of clear floor in front of it and no exit sign or bright window directly behind.

Scale is the most common thing to get wrong. A 12 foot garland that looks generous in a living room disappears in a banquet hall with a high ceiling, where a 6.6 by 6.6 foot wall and a longer garland hold their own. Tell us the ceiling height and the width of the wall you have in mind and we will size the piece to the room.

Send a reference photo and your venue details. We will tell you which catalogue pieces it needs, what would be custom, and what to confirm with your venue.

    By Event Type

The plan changes with the occasion

A corporate event is planned around brand accuracy and guest flow. We match brand colours as closely as balloon and fabric ranges allow, keep logos at the correct proportions, and place the photo area where it will not interrupt registration, the bar or the stage sightlines. Load-in matters more here than anywhere: dock access, elevator bookings and the hour the room is released to us shape what can be built. Nothing about it should feel childish unless the brief asks for playful.

Private celebrations are more personal. As a party planner Toronto families call for a birthday, baby shower or bridal shower, we work from the guest of honour outward: their colours, their name or number, the photo they will want to keep. For cultural celebrations we work from your family's own traditions, colours and references, and ask rather than assume.

A wedding is designed around the venue, the couple and the palette, and we never assume it needs balloons; many are built on florals, fabric and light alone. For an engagement or proposal, the plan is mostly about timing and privacy: when the setup is revealed, where the photographer stands, who keeps the partner away until the moment, and what the backup is if the weather turns on an outdoor location.

    How It Works

    From inquiry to takedown

    1. 01

      Inquiry

Share the occasion, date, venue, guest count, colours and any reference photos through our contact form, by email or by phone. Form inquiries receive a reply within 24 hours.

    2. 02

      Concept

We propose a creative direction, a hero moment and a list of pieces, separating what is essential from what is a recommended or optional addition so you can set priorities.

    3. 03

      Confirmation

You receive a quote covering catalogue items and any custom work. We confirm details and next steps when you request a quote, including what your venue needs to approve.

    4. 04

      Setup day

Our team delivers and installs within the venue's access window, checks the photo position and lighting, and hands over to your on-site contact before guests arrive.

    5. 05

      Takedown

Where takedown is included in your booking, we return at the agreed time to remove rentals and decor, leaving the room as the venue requires.

    Which do you need?

Event planner, party planner or decorator

The three titles overlap, and many hosts book the wrong one first. A short guide:

    Event planner

Responsible for the whole event: venue, vendors, budget, timeline and the day. Right for weddings, corporate events, galas and any celebration with several suppliers.

    Party planner

The same work at a private scale: birthdays, showers, engagements and cultural celebrations, often at home or in a rented hall. Planning is lighter, styling is usually the bigger part.

    Event decorator

Designs and installs the look of the room: backdrops, balloons, florals, tables and signage. Right when the venue and vendors are already settled.

Event Creation does all three. You can start with decor only, add day-of coordination later, or hand us the full plan from the first call. See our packages and services for the building blocks.

    Venue and Logistics

Questions to settle before the design is final

Answer these early and the design will fit the room on the first attempt.

    • What time can vendors enter the room, and when must everything be removed?
    • What are the ceiling height and the width of the wall where the main backdrop will stand?
    • Does the venue allow helium, free-standing frames, confetti-filled balloons, or anything attached to walls and ceilings?
    • Is there an elevator, a loading dock or stairs between parking and the event room?
    • Where are the power outlets, for neon signs, marquee numbers and a photo booth?
    • Which direction does daylight come from at the time of the event, and will it fall behind the backdrop?
    • If any part is outdoors, what is the covered or indoor fallback for wind and rain?
    • Who is the on-site contact on the day, and who approves the final placement?

    Budget Sense

Where to spend, and where to hold back

A clear budget makes for a better design, not a smaller one. A good event planner Toronto hosts can trust will ask about it early. When we plan event decor Toronto clients can price in advance, we sort every item into three groups: essential pieces that make the room look complete, recommended pieces that strengthen the concept, and optional upgrades that add to the guest experience. You decide where the line falls, and the hero moment is protected whichever way you choose.

In practice that usually means one strong backdrop instead of three small decorated corners, centrepieces that repeat the palette simply, and one interactive element such as a photo booth if guests are likely to use it. Helium, venue rules and rigging all follow the venue's policies and our on-site team's guidance, so a design may be adjusted once we have seen the space. If you are new to us, ask us about our new-customer offer when you request your quote.

    Talk to a planner

We are available 7 days a week. Call with your date and venue, or browse the portfolio first and tell us which looks caught your eye.

    Cost

What an event planner costs in Toronto

Planners in Toronto charge in different ways: a flat fee for the project, an hourly rate for consultations, a fee for day-of coordination only, or a share of the total event budget. Whatever the model, ask for the planning fee and the cost of the event itself to be shown separately.

We quote planning and coordination to the scope of each event, because a home birthday and a 300-guest wedding need very different amounts of work. Decor, photo booths and entertainment start from the prices listed on this website, so you can see how a design adds up before you request a quote. The main things that move the total are the guest count, the venue, the date, how much of the room is designed and how many vendors need coordinating.

The quickest way to a useful number is to send the date, venue, guest count and two or three reference photos. We reply with a concept and an itemized quote.

    Questions

Event Planning & Styling: Frequently Asked Questions

Straight answers about hiring an event planner in Toronto: what we plan, what it costs and what we need from you.

    Updated November 3, 2026

    Working with us

How much does an event planner cost in Toronto?

There is no single figure, because planning and styling with us is quoted to each event rather than sold as a fixed package. What we can show you in advance are the website-listed starting prices for the decor itself, such as a 12 foot balloon garland from $250 or a shimmer wall backdrop with balloons from $420. Your quote combines the pieces your design needs with any custom work, and the final price depends on location, timing, size and customization.

What does your planning and styling service include?

As much of the event as you want to hand over. Full planning covers the concept, venue sourcing, the budget and timeline, vendor booking and coordination, AV, event staff, the room design, decor from our catalogue and custom pieces, a coordinator on the day, and setup and takedown as stated in your quote. You can also book styling only, or day-of coordination for an event you have planned yourself.

Can I book decorations only, without full planning?

Yes, many clients simply choose a backdrop, garland or photo booth from the catalogue and book it on its own. Every decoration product lists its starting price and what is included, such as delivery, installation and takedown. If you later decide you want help tying several pieces into one design, we can step in at that point. You do not need a planning service to rent or book individual items.

How far in advance should I contact you?

As early as you comfortably can, because dates fill and custom work takes longer than catalogue items. We do not publish a fixed lead time for planning. The one stated rule in our catalogue is that the 360 video booth should be booked at least 2 weeks before the event. If your event is close, still get in touch; we are available 7 days a week and will tell you what is realistic for your date.

What information do you need to prepare a quote?

We need the occasion, the date, the venue or address, the approximate guest count, your preferred colours or theme, and whether the event is indoors or outdoors. Reference photos help a great deal, as do the ceiling height and the width of the wall you have in mind for a backdrop. For corporate events, send brand guidelines and the run of show. With that, we can recommend pieces and price them accurately for your location.

Do you work with any venue in Toronto and the GTA?

We travel to venues, homes and offices across Toronto and the GTA, including North York, Scarborough, Etobicoke, Mississauga, Vaughan, Markham, Richmond Hill, Oakville, Ajax and Oshawa. Each venue sets its own rules on access times, helium, wall attachments and effects, so we ask you to confirm those early. Pricing can vary with location and timing, which is why we quote each event individually. We do not claim a relationship with any particular venue; we simply work within its policies.

Do you handle setup and takedown?

Yes, for most decoration bookings. Many of our listings, including garlands, arch frames, shimmer walls, green walls and marquee number designs, state that delivery, installation and takedown are included. A few items list delivery as a separate charge, and balloon walls list delivery and installation. Your quote spells out what applies to each piece and the times we will arrive and return, so you and your venue know exactly what to expect.

Can you match a specific theme or brand colours?

Yes, matching a palette is a core part of the design stage. Our products note that different designs and colours are available, and we choose balloon tones, fabrics, florals and signage to sit as close to your reference as the available ranges allow. For corporate work, send the brand guide so logo proportions and colours are handled correctly. If an exact shade cannot be matched in a given material, we will tell you and suggest the nearest option.

    Do you provide fresh flowers?

Fresh floral design, including bridal bouquets, boutonnieres, floral arches and centrepieces, is available by custom quote. Because it is made to order, we do not publish prices or fixed inclusions for it; tell us the look, the season and the quantities you have in mind and we will advise. Our catalogue also lists an artificial flower stand decoration and a flower stand rental, which suit events where lasting arrangements or a lighter budget make more sense.

    Can you plan outdoor events?

Yes, with a weather plan. Wind affects balloons, fabric and lightweight frames, direct sun affects balloon finishes, and rain affects nearly everything, so we ask for a covered or indoor fallback before we finalize an outdoor design. Power for neon signs, marquee numbers and photo booths also needs confirming. Venue rules and our on-site team's guidance apply on the day, and we may adjust placement if conditions call for it.

Do you plan corporate events as well as private parties?

Yes, as an event planner Toronto companies and families both use, we plan both and approach them differently. Corporate events are built around brand colours, logo accuracy, guest flow and load-in logistics, with a photo area that supports the programme instead of interrupting it. Private parties start from the guest of honour and the family's style. In both cases the process is the same: a concept, a design, decor, then setup and takedown, all confirmed in a quote written for the event.

Is a planner worth it for a small party?

It depends on how much of the thinking you want to do yourself. For a small home party, one well-sized backdrop and a few coordinated details are usually enough, and you can book those directly from the catalogue. Planning help becomes useful when several elements need to work together, when the venue has strict rules, or when you simply do not have the time. We are happy to advise either way.

    How do I book?

Begin by requesting a quote through the contact form, by email at Info@EventCreation.ca or by phone at (416) 230-9723. After a form submission we contact you within 24 hours. We confirm details and next steps when you request a quote, including availability for your date, what your venue needs to approve and the final price for your location and timing. You can also visit the service pages first to see starting prices.

    About event planners

What does an event planner do?

An event planner takes an occasion from idea to the last guest leaving. The work covers the budget, the venue and date, the guest experience, booking and scheduling vendors, the room design, the timeline and run of show, and managing everything on the day. A good planner also knows what to ask the venue early, so nothing surprises you on the day.

What is the role of an event planner on the day of the event?

On the day, the planner is the person every vendor reports to. They check the setup against the plan, receive deliveries, keep the timeline moving, cue speeches and special moments, solve problems before guests notice them and oversee takedown. The hosts should not have to answer a single vendor question once the event starts.

What’s the difference between a party planner and an event planner?

The work is similar; the scale and the audience differ. Party planners usually handle private celebrations such as birthdays, showers and anniversaries, where styling is a large part of the job. Event planners take on bigger or more formal events with more vendors, such as weddings, galas, conferences and corporate parties. We plan both, with the same process.

What is the difference between an event planner and a wedding planner?

A wedding planner specializes in one kind of event and its traditions: the ceremony, the reception, the families and the many small timings of the day. An event planner covers a wider range of occasions. Event Creation plans and coordinates weddings as well as other events; see wedding planning and decor for how we approach them.

What is another word for event planner?

You will also see event coordinator, event organizer, event manager, party planner and, for larger productions, event producer. Coordinator often means someone who runs the day from a plan made by others. Manager and producer are more common for corporate and production-heavy events. The title matters less than the written scope of what they will do.

What are the five Ps of event planning?

A common version lists plan, people, place, price and promotion: what the event is and its timeline, who attends and who works it, where it happens, what it costs, and how guests are invited. For private events, promotion is simply the invitation, while for corporate events it can be a full campaign.

What are the 7 stages of event planning?

One widely used sequence is: define the goal, set the budget, choose the date and venue, book the vendors, design the event, invite the guests, then run the day and review it afterwards. We follow the same order, and each stage ends with a decision you approve, so the plan never drifts away from what you agreed.

What is the hardest part of event planning?

Timing. Most problems on the day come from vendors arriving in the wrong order, a venue access window that was never confirmed, or a decision left too late. That is why our plans start with the venue rules and a written timeline, and why every vendor receives the same run of show.

    Choosing a planner

What should I look for when choosing an event planning company in Toronto?

Look for photos of their own events, recent Google reviews that mention timing and communication, and an itemized quote that separates planning from the cost of items. Ask who will be on site on the day and how changes are handled. A planner who asks about your venue rules, guest count and budget in the first conversation is a good sign.

How do I find a good event planner in Toronto?

Start with the type of event. Some planners mostly do weddings, others corporate events or private parties. Read reviews on Google, look at portfolios with real photos rather than stock images, and ask two or three planners for a quote on the same brief so you can compare like with like.

Should I hire an event planner or plan it myself?

If the event has one venue, few vendors and you have time, planning it yourself with good decor support can work well. Hire a planner when several vendors need coordinating, the venue has strict rules, the guest list is large or you want to enjoy the day as a guest. Our guide on choosing an event planner or DIY goes through the trade-offs.

Do you offer full planning and day-of coordination?

Yes, both. Full planning starts at the first idea and covers venue, vendors, design and the day. Day-of coordination is for hosts who have planned the event themselves and want someone to run it. Our article on full-service planning or day-of coordination explains which suits which event.

    What does day-of coordination include?

We review your plan and vendor list a few weeks before, confirm arrival times with each vendor, build the run of show, and on the day manage setup, timings, special moments and takedown. You hand over the details once, and the rest of the day is ours to manage.

Can I hire you for only part of the planning?

Yes. Common examples are venue sourcing only, the room design and decor only, vendor coordination for the evening, or a coordinator for the day. Tell us what you have already arranged and we quote only the parts you need.

Do I need a planner if my venue has an event coordinator?

Often yes, because the two jobs are different. A venue coordinator looks after the venue: the room, its staff, its food and its rules. A planner looks after you and the whole event, including vendors the venue does not manage, the design and the timeline. We work alongside venue coordinators all the time.

    Cost and budget

    How do event planners charge?

Common models are a flat fee per event, an hourly rate, a separate fee for day-of coordination, or a percentage of the total budget. We quote planning and coordination to the scope of each event and list decor, booths, entertainment and other services as separate lines, so you can see exactly what each part costs.

What is included in your event planning quote?

Each quote lists the planning and coordination work, every decor piece and service with its price, what is included for each item such as delivery, installation and takedown, and anything that depends on the venue. If a supplier is booked through us, it appears as its own line.

How can I keep event planning costs down?

Choose a weekday or a less busy month, keep the guest list firm, and put the decor budget into one strong photo moment rather than many small pieces. Booking early also helps, because you have a wider choice of venues and suppliers. We sort every quote into essential, recommended and optional items to make these choices easier.

    Do you offer event packages?

Yes. Our packages combine popular decor, photo booth and entertainment items with a starting price, and they are a good starting point for birthdays, showers and smaller celebrations. Larger events are usually quoted individually from the same building blocks.

    Planning by occasion

Can you plan a birthday party?

Yes, for every age, from a first birthday and kids parties to milestone birthdays and adult celebrations. We plan the theme, decor, cake table, entertainment and timing, at home or at a venue. See birthday parties for ideas and starting prices.

Do you plan baby showers and bridal showers?

Yes. We plan and style baby showers, gender reveals and bridal showers in homes, restaurants and halls, with a backdrop, a dessert table and the small details the guest of honour will want in photos.

Can you plan a cultural or religious celebration?

Yes. We plan cultural celebrations such as Diwali, Eid, Nowruz, Lunar New Year, Hanukkah and mehndi nights. We work from your family’s own traditions, colours and references and ask rather than assume.

Can you plan a proposal or an engagement party?

Yes. A proposal is planned around privacy and timing: when the setup is revealed, where the photographer stands and what the weather backup is. An engagement party is planned more like a small reception, with a backdrop, tables and music.

    Do you plan corporate events?

Yes. For companies we plan holiday parties, galas, conferences, launches and appreciation events, including venue sourcing, AV and LED walls, event staff and branded decor. See corporate event planning for details.

Do you plan fundraisers and community events?

Yes. Charity galas, school fundraisers and community events need a plan that looks generous while respecting a fixed budget. See fundraisers and charity events for how we approach them.

Can you plan a virtual or hybrid celebration?

Yes. Some families and companies want relatives or colleagues abroad to join online. We plan the programme so the remote audience can follow it, set up the room so it looks right on camera and schedule the moments that matter, such as speeches or a cake cutting, for both audiences.

Can you plan a surprise party?

Yes. A surprise party is mostly about timing and discretion: a setup window that does not give the secret away, one person who keeps the guest of honour busy, and a clear signal for the reveal. We plan those details with you and build the room quickly.

Do you plan graduation, anniversary and retirement parties?

Yes. We plan graduation parties, anniversaries and retirement parties at home, in restaurants and in rented halls, with a photo moment built around the name, the year or the milestone.

Can you plan a holiday party for family and friends?

Yes. For holiday celebrations at home or in a venue we plan the decor, the tables, entertainment for children and the timing of the evening. December books up early, so send your date as soon as you have it.

    Do you plan small events?

Yes. Many of our events have a few dozen guests or fewer. For a small event we keep the plan simple: one backdrop or photo moment, a styled table and clear setup and takedown times. You can book catalogue items on their own and add planning help only if you need it.

    Venues, vendors and logistics

Can you help us find a venue?

Yes. Tell us the guest count, the date, the budget and the style you have in mind, and we shortlist venues that fit. We then check access times, decor rules, power and ceiling height before you sign, because those details decide what the event can look like.

Do you coordinate caterers, photographers and other vendors?

Yes. Whether a vendor is booked through us or by you, we include them in the timeline and run of show, confirm their arrival and setup times and tell them where to work in the room. On the day, they report to our coordinator rather than to you.

Do you provide rentals such as tables, chairs, tents and a dance floor?

Yes. Our catalogue includes tables, chairs and linens, tents and outdoor setup, a dance floor and staging and other event extras, so the plan and the rentals come from one place.

Do you provide AV, lighting and LED walls?

Yes. We book sound, microphones, lighting, screens and LED walls when the event needs them, and design the room so the decor and the AV work together. For home parties, a DJ with a sound and lighting package is usually enough.

Can you plan an event at home?

Yes, and many of our private events are at home. We look at the space first, plan where the backdrop, food and guests will go, and keep the setup and takedown times short so your home is back to normal quickly.

What happens if something goes wrong on the day?

Something small almost always changes: a vendor is delayed, the weather turns or a speech runs long. Because the coordinator holds the full plan and every vendor contact, the change is handled without involving you. For outdoor events we agree the weather backup in advance.
